Glossary of Terms
Account: A registered user profile on TeeFox required for accessing and managing bookings and subscriptions.
Alerts: Notifications sent via SMS or email to inform users about available tee times that match their preferences.
Booking: A confirmed tee time reservation made by TeeFox on behalf of a user at a participating golf course.
Booking Fee: A flat rate (typically $3 per player) charged by TeeFox upon successful confirmation of a tee time booking.
Cancellation Window: The time period (usually 36 hours) within which users can cancel a booking through TeeFox without incurring fees – displayed at checkout.
Confirmed Booking: A tee time request successfully matched and reserved at a golf course through TeeFox.
Dispute: A formal claim by a user challenging fees or charges associated with a booking.
Free Tier: The entry-level TeeFox account with access to limited features and no subscription fee.
Hold: A pre-authorization on the user's card to cover the estimated cost of the tee time.
NotificationAPI: A third-party tool used by TeeFox to deliver SMS and email notifications to users.
No-Show: A failure to attend a confirmed tee time without canceling, which may result in a fee.
Payment Method: A valid credit or debit card stored in the user's account for processing fees.
Premium Tier: A forthcoming subscription level offering enhanced benefits, such as free cancellations.
QuickBook: The process of selecting and purchasing a currently available tee time immediately.
Stripe: The secure third-party payment processor used by TeeFox for transactions.
Subscription: A recurring monthly payment plan unlocking additional features and discounts.
Tee Time: A scheduled start time for playing golf at a course.
TeeFox: The online service that helps users search, receive alerts, and book golf tee times.
Virtual Credit Card: A digital card issued by TeeFox (via Stripe Issuing) used to complete bookings on behalf of users.
Waitlist: A feature allowing users to request a preferred tee time that is currently unavailable. Users may opt to receive availability alerts or automatic bookings (when card is on file and settings permit).
1. Account Registration & Subscription
By registering for a TeeFox account, you agree to provide accurate and complete information and maintain an active payment method on file if intending to book tee times. You must have a valid payment method registered prior to making any bookings.
2. Subscription Plans
- Free Tier: Provides search for 0-3 days out and basic quick book services
- Pro Tier ($9/month): Includes search 0-10 days out, book-it-yourself links, waitlist requests, tee time alerts, and 50% off booking fees
- Premium Tier (29/month): Includes search 0-90 days out, unlimited alerts, no booking fees, and free cancellations subject to terms.
All subscriptions are billed on the Subscription Start Date and billed each month automatically until cancellation, or termination of the account.
3. Booking and Service Fees
- Managed Booking Service: TeeFox provides a managed booking service that completes tee time reservations directly with participating golf courses on your behalf. We handle the entire online booking process, including payment where required, user communications, and confirmation delivery.
- Third-Party Inventory: While TeeFox manages the full reservation workflow, all tee times originate from third-party golf courses and are subject to their availability and booking policies. TeeFox does not own or control tee time inventory—we act as your agent in securing a booking with the course.
- Standard Booking Fee: A flat $3.00 per player fee is charged only when a booking is successfully confirmed. Subscription tiers may include discounts or waived fees.
- Transparent Pricing: The total estimated cost—including course fees, TeeFox fees, and any applicable surcharges—is clearly displayed at the time of booking.
- Confirmation Timing: Bookings may be confirmed immediately or at a later time, depending on the user's request (e.g., immediate QuickBook vs. Waitlist). Charges are only applied once a match is confirmed.
4. Payment Processing and Authorizations
- TeeFox utilizes Stripe as its secure third-party payment processor.
- At the time of booking, the total estimated charge—including course fees, booking fees, and any applicable surcharges—is clearly displayed before the user confirms the booking.
- A pre-authorization hold for the displayed amount is placed on the user's registered payment method to secure the reservation and account for potential penalties such as late cancellations or no-shows.
- Final charges are reconciled after the scheduled tee time. If the final course charge is lower than the amount held, the unused portion is automatically refunded—typically within three (3) business days.
- Users are responsible for ensuring that their payment method remains valid and has sufficient funds to cover anticipated charges and adjustments.
5. Virtual Credit Card Transactions
- When a credit card is required for bookings TeeFox completes golf course reservations using virtual credit cards provided by Stripe Issuing, uniquely linked to each user's TeeFox account.
- TeeFox retains cardholder responsibility, disclosing minimal personally identifiable information to golf courses (primarily user names for identification purposes).
- TeeFox manages all communication with the golf course relating to the online booking transaction. TeeFox communicates with the user according to user preferences with booking and transaction related information.
6. Cancellation Policy
- Free & Basic Tiers: All booking fees are strictly non-refundable.
- Premium Tier: Users may cancel bookings free of charge if cancellations are submitted within the Cancellation WIndow (usually 36 hours), displayed at the time of booking.
- Cancellations within the Cancellation Window are subject to the booked course policy, including all cancellation fees. Sometimes, calling the golf course and asking to be forgiven can help avoid fees, for extreme cases like weather, an illness, emergency ect. However this is not guaranteed.
7. Dispute Resolution Process
- TeeFox is committed to fair and timely resolution of all user disputes. If you believe a charge was made in error or a booking was mishandled, please contact our support team at support@teefox.golf. TeeFox will investigate the issue, review system logs, payment records, notification history and provide a resolution within five (5) business days.
- While bookings are placed with the golf course, TeeFox manages the entire process on the users behalf. We aim to resolve issues fairly without requiring the user to contact the course.
- If a user chooses to dispute a charge through a payment provider, TeeFox will supply documentation (booking confirmations, timestamps, notifications) to support the case and ensure a fair outcome.
8. Data Privacy and Notifications
- TeeFox uses NotificationAPI exclusively for notification services, sharing only user contact information (email and/or phone number) required to facilitate bookings and alerts.
- All user data stored with TeeFox and third-party service providers is permanently deleted within 30 days following account termination.
9. Transaction and Processing Fees
- TeeFox may apply a surcharge of up to 3% exclusively on course fees charged to virtual credit cards used for golf course bookings. TeeFox subscription fees and one-time booking fees ($3 per player) do not incur additional processing charges; these are covered by TeeFox.
- Users agree to pay all applicable golf course fees, TeeFox booking fees, and applicable processing surcharges incurred.
10. Refund Policy
- Refunds are processed back to the original payment method used at the time of booking.
- Refunds may result from a user-initiated cancellation, a successful dispute resolution, or a booking concern escalated to TeeFox Support.
- If a discrepancy exists between the pre-authorized hold and the actual course charges, the difference will be refunded automatically following settlement.
- Refund processing typically occurs within three (3) business days after the booked tee time or dispute resolution.
- Refund eligibility is determined by TeeFox based on verification of system logs, booking activity, and communication records. All booking fees on the Free and Basic Tiers are non-refundable.
11. Liability and User Responsibilities
- Users are responsible for complying with all golf course policies, including tee time attendance, no-show penalties, and cancellation policies (displayed at checkout).
- TeeFox is not liable for disputes arising from golf course rules or operational practices, including penalties for late arrival, dress code violations, or pace of play.
- TeeFox will support users in resolving transactional disputes as defined in Section 7, including erroneous charges, system errors, or discrepancies in fees or notifications.
- TeeFox does not control or guarantee the outcome of disputes that are solely governed by golf course policy.
12. Service Availability and Modifications
TeeFox reserves the right to modify, suspend, or discontinue its services (or any part thereof), temporarily or permanently, with or without notice. TeeFox is not liable for any modification, suspension, or discontinuation of the services.
13. Third-Party Services and Integrations
TeeFox integrates with various third-party services including, but not limited to, payment processors and notification providers. Users acknowledge that TeeFox is not responsible for the reliability, availability, or performance of such third-party services.
14. Account Termination and Suspension
TeeFox reserves the right to suspend or terminate your account, access, or services at its sole discretion if any term is violated or for any reason including suspected fraud or abuse. Upon termination, TeeFox may delete all user data in accordance with its data retention policy.
15. Intellectual Property
All platform content including trademarks, branding, user interfaces, and other intellectual property remains the exclusive property of TeeFox. You agree not to reproduce, duplicate, copy, sell, or exploit any portion of the service without express written permission.
16. Force Majeure
TeeFox is not liable for failure or delay in performance caused by acts beyond its reasonable control, including natural disasters, internet outages, labor strikes, governmental actions, or third-party service disruptions.
